answer: "WhatsApp lead generation means getting prospects to start a chat with you, then qualifying and routing them while their interest is fresh. Entry points include click-to-WhatsApp ads, website chat buttons, QR codes and wa.me links. A WhatsApp Flow or a short question sequence captures the details, the lead is routed to the right salesperson, and the record syncs to your CRM. Speed of first reply is the metric to watch."

faq:
  - q: "How do you generate leads on WhatsApp?"
a: "Give people easy ways to start a chat: click-to-WhatsApp ads on Facebook and Instagram, a chat button on your site, QR codes on print and packaging, and wa.me links in email, SMS and social bios. Reply instantly, ask three or four qualifying questions, route hot leads to a salesperson and record everything in your CRM."
  - q: "Is WhatsApp lead generation allowed?"
a: "Yes, when people contact you or opt in. Meta requires opt-in before you message people, with a clear statement that they agree to hear from your business, and the business name must be stated. Do not buy lists or scrape numbers. A person who messages you first can be answered inside the 24-hour service window."
  - q: "What are click-to-WhatsApp ads?"
a: "They are Facebook and Instagram ads whose button opens a WhatsApp chat with your business instead of a landing page. You choose messaging apps and WhatsApp as the conversion location in Ads Manager and can set an opening message. The click starts a conversation you can qualify and track."
  - q: "How do you qualify leads on WhatsApp?"
a: "Ask a few specific questions in a fixed order: need, budget range or size, timing and contact preference. Use buttons, lists or a WhatsApp Flow so answers are structured, score them against criteria your sales team agrees, and route leads above the threshold to a person immediately. Keep an open route to a human throughout."
  - q: "Can I follow up with a lead who stops replying?"
a: "Inside the 24-hour window you can send free-form messages. After it closes you need an approved template, and if the template is a nudge to buy, it is a marketing template that requires the person's opt-in. A utility template is only for messages tied to their request, such as confirming a booking they made."
  - q: "How do I measure WhatsApp lead generation?"
a: "Track chats started per source, speed to first reply, qualification rate, meetings or sales per source and cost per qualified lead. For ads, record Meta's click ID with the conversation and send back events so ad results reflect real outcomes. Compare sources with the same definitions, and review closed-lost reasons monthly."

# WhatsApp Lead Generation: Capture, Qualify and Convert

Canonical: https://omnichannels.ai/blog/whatsapp-lead-generation-guide/
Language: en
Publisher: OmniChannels.ai by BroadNet Technologies

This guide is for marketing and sales leaders who want a repeatable way to turn ad clicks, website visits and printed codes into qualified WhatsApp conversations. You will see the entry points, how to qualify with questions and Flows, how to route leads to sales, how to sync with your CRM and which numbers prove the programme works.

## What is WhatsApp lead generation?

WhatsApp lead generation is the practice of getting prospects to start a conversation on WhatsApp, collecting the details a salesperson needs and handing qualified leads to the right person quickly. The chat replaces the web form or the callback request.

It works because the prospect chooses the moment and the app they already use, and because a chat can answer a question the form could not. It fails when replies are slow, the questions are too long or leads are never recorded in the CRM. That is why the funnel below has five parts: entry point, instant reply, qualification, routing and follow-up.

## Which entry points generate WhatsApp leads?

The main entry points are click-to-WhatsApp ads, a chat button on your website, QR codes, wa.me links in other channels and messages from Google and social profiles. Give each its own tag so you know which one produced the lead.

| Entry point | Where it lives | How to tag the source |
|---|---|---|
| Click-to-WhatsApp ad | Facebook and Instagram | Ad referral data and a welcome message per campaign |
| Website chat button | Landing pages, product pages | Prefilled message naming the page |
| QR code | Print, packaging, events, showroom | A separate code per placement |
| wa.me link in email or SMS | Campaigns to your own opted-in list | Prefilled message naming the campaign |
| Social profile link | Instagram bio, Facebook Page, Google profile | Prefilled message naming the profile |

For **ads**, Meta describes click-to-WhatsApp ads as Facebook or Instagram ads that open a WhatsApp chat with your business. In Ads Manager you choose a campaign objective, then select Messaging Apps and WhatsApp under Conversions. Meta's welcome message sequences let you attach an opening text, a prefilled message the user can send and quick-reply options such as FAQs to an ad; you create the sequence through the API, attach it to the ad, and a sequence linked to an active ad cannot be changed until you disconnect it. Our [click-to-WhatsApp ads guide](/blog/click-to-whatsapp-ads-guide/) covers setup in more detail.

For **QR codes and short links**, Meta's feature generates a `wa.me/message/<code>` link, allows a prefilled message of up to 140 characters, up to 2,000 codes and links per business phone number, and gives no scan analytics. That last point is why you should create a separate code per placement and read the source from the prefilled text. Use the free [WhatsApp QR code generator](/tools/whatsapp-qr-code-generator/), the [link generator](/tools/whatsapp-link-generator/) and the [chat button tool](/tools/whatsapp-chat-button/), and read our [click-to-chat and QR guide](/blog/whatsapp-click-to-chat-links-qr-codes/).

## What happens in the first minute?

The first minute decides whether the lead stays. Reply instantly, say who you are, confirm what they asked about and ask one easy question.

When a prospect messages you, a 24-hour customer service window opens in which you can send free-form messages and interactive messages without a template. Each new message from them resets the timer. If the lead came from a click-to-WhatsApp ad on the Android or iOS app and you reply within that window, Meta's pricing documentation says the reply opens a free entry point window that remains open for 72 hours, during which marketing, utility, authentication and service messages are not charged (Meta Business Agent messages still are). Confirm the current terms in Meta's pricing page; our [free messages guide](/blog/whatsapp-business-api-free-messages/) explains them.

An instant reply is usually automated, then handed over:

> Hello {{name}}, thanks for contacting [Company] about {{topic}}. I can help in two minutes. Are you looking to buy, rent or just exploring?
> Buttons: **Buy** · **Rent** · **Just exploring**

Reply buttons allow up to three options, so keep the first question simple. Our [first response time guide](/blog/first-response-time-customer-service/) shows how to measure the gap between the first message and the first meaningful reply.

## How do you qualify leads on WhatsApp?

Qualify with three to five questions in a fixed order, using buttons, lists or a WhatsApp Flow so that answers are structured and scoreable. End with a decision: route to a person, book a slot or nurture.

### Questions that qualify

1. **Need:** what are they looking for?
2. **Fit:** size, location, product line or budget range.
3. **Timing:** when do they want to decide or buy?
4. **Authority:** are they deciding alone (for B2B)?
5. **Contact preference:** when and how should a person reach them?

Do not ask for everything at once. Each extra question loses people, so ask only what your sales team uses to decide who calls first.

### Use WhatsApp Flows for structured capture

A WhatsApp Flow is a structured form that opens inside the chat. Meta lists "purchase intent" (collect name and email and let users choose products or services) and "insurance quotes" among its Flow use cases. Flows can be sent as an interactive message inside the customer service window, or attached to a template with a Flow button, which Meta's example creates as a marketing template. When the customer completes it, a response arrives at your webhook as an interactive message with an `nfm_reply` object containing the answers as JSON. Meta notes the response does not include the Flow ID, so put an identifier in your payload or `flow_token` to match it to the right lead.

Use a Flow when you need several structured answers (for example, budget range, timing, area). Use plain buttons for one or two choices, and a human for anything open-ended. Details and design rules are in our [WhatsApp Flows guide](/blog/whatsapp-flows-guide/), and the free [WhatsApp Flows templates](/tools/whatsapp-flows-templates/) give starting points.

### Score and route

Agree a simple score with sales, such as:

| Signal | Points (example) |
|---|---|
| Wants to buy in 30 days | High |
| Budget within range | High |
| Located in service area | Required |
| Only exploring | Low |

Leads above the threshold go to a person now. Others receive useful content and a check-in. The numbers are yours to set; write them down and review them against what actually closed.

## How should leads be routed to sales?

Route by rule, not by whoever sees the message first. Assign by language, region, product or source, notify the owner and set a time limit for taking the lead.

In a [shared inbox](/platform/unified-inbox/) the conversation keeps its history, so the salesperson sees the answers already collected. Good routing rules include language (Arabic or English), property or product line, round-robin among available agents, VIP or returning-customer detection and an escalation if nobody accepts in a few minutes. Our [real estate lead follow-up guide](/blog/real-estate-lead-follow-up-whatsapp/) shows these rules with a property example, and the [chatbot to human handoff guide](/blog/whatsapp-chatbot-human-handoff/) shows when automation should stop.

## How do you sync WhatsApp leads with your CRM?

Create or update a contact and a lead record for every conversation, store the source and the Flow answers, and log the status changes. The CRM stays the system of record; WhatsApp is the conversation layer.

Fields worth mapping: phone number, name, source (ad, QR, button), campaign, qualification answers, score, owner, consent status and timestamp, and conversation link. Connect through webhooks and the REST API, or through an automation tool. Our guides to [WhatsApp CRM integration](/blog/whatsapp-crm-integration-guide/) and [connecting a CRM to the inbox with webhooks](/blog/connect-crm-omnichannel-inbox-webhooks/) show the field mapping and data flow, and the integrations section lists connectors such as [HubSpot](/integrations/hubspot/) and [Salesforce](/integrations/salesforce/).

## How do you attribute leads to ads?

Store the click ID that comes with each ad conversation and send conversion events back to Meta, so ad results reflect leads that matter. Counting chats started is not enough.

Meta's Conversions API for business messaging describes `ctwa_clid` as a per-click identifier that appears when a user starts a conversation from a click-to-WhatsApp ad. It is in the `referral` object of the Messages webhook. Store it with the conversation, and when something happens later send an event with the click ID in the user data. Meta's list of supported event names includes LeadSubmitted, QualifiedLead, Purchase, InitiateCheckout and others. Requirements include a developer app, advanced access to the `whatsapp_business_manage_events` permission and a supported integration through Cloud API with Embedded Signup or Facebook Login for Business. Without the click ID you can send hashed customer data with a page ID, but Meta says matching is not guaranteed, covers only the past seven days and is available in a subset of countries.

For budgeting, use our [click-to-WhatsApp ads ROI calculator](/tools/click-to-whatsapp-ads-roi-calculator/).

## How do you follow up with leads who go quiet?

Follow up inside the 24-hour window with free-form messages, and after it closes use an approved template that is honest about its category. A nudge to buy is marketing, and it needs the person's opt-in.

Meta's template rules say utility templates must be non-promotional and tied to the user's request or essential to them; persuasive messages are marketing. For a lead who has only started a chat, a reply to their enquiry is service; a sales nudge after the window is marketing. Whether starting a chat counts as opt-in to marketing depends on what you told them; Meta requires that the opt-in clearly says the person agrees to receive communication from your business and names the business. Add a line in your welcome message such as "Reply YES to receive updates and offers from [Company] on WhatsApp", and record the answer. See our [opt-in guide](/blog/opt-in-consent-multichannel-campaigns/) and [template categories guide](/blog/whatsapp-template-categories-approval/).

Examples (with the category Meta would expect):

**Booking confirmation after a viewing request (utility)**
> Hi {{1}}, your viewing request for {{2}} is confirmed for {{3}} at {{4}}. Reply to change the time.

**Nurture message to an opted-in lead (marketing)**
> Hi {{1}}, new options matching your search are available. Want me to send the shortlist?
> Buttons: **Send shortlist** · **Not now** (quick replies)

Marketing templates are subject to per-user limits, so send fewer, more relevant messages. Two attempts spaced across days is a sensible ceiling.

## What should you measure?

Measure the funnel from chat to deal, by source, and watch the speed.

| Metric | Formula |
|---|---|
| Chats started | Conversations by source |
| Speed to first reply | First reply time − first message time (median and 90th percentile) |
| Qualification rate | Qualified leads ÷ chats started |
| Contact-to-meeting rate | Meetings booked ÷ qualified leads |
| Win rate | Deals won ÷ qualified leads |
| Cost per qualified lead | Spend on the source ÷ qualified leads |

Hypothetical example: an ad campaign starts 400 chats. 120 finish the Flow and 60 meet the score threshold. If the campaign spent a budget B, the cost per qualified lead is B ÷ 60, and cost per chat is B ÷ 400. The first number is the one to compare across sources. If one source has many chats but few qualified leads, change its first question before cutting budget.

## What mistakes should you avoid?

- **Slow replies.** Leads cool in minutes; automate the first reply and alert the owner.
- **Long forms.** More than five questions loses people; split them across time.
- **Messaging bought lists.** Meta requires opt-in. Do not scrape numbers.
- **No source tags.** Without them you cannot say which entry point worked.
- **Dropping the human.** Provide a route to a person at every step.
- **Leads outside the CRM.** If sales cannot see it, it did not happen.
- **Ignoring local rules.** Consent and data protection laws vary by country; confirm with your legal team.
