answer: "Customer service reply templates are pre-written messages for situations your team meets every day: acknowledging a request, apologising, explaining a delay, handling a refund, escalating, closing and replying out of hours. A good template names the problem, states the next step and a time, and leaves room for a personal line. Below are 50 you can copy, plus Arabic versions for GCC teams."
takeaways: ["A reply template is a draft, not a script: every one should carry the customer's name and the specific issue, then a concrete next step with a time.", "On WhatsApp, free-form replies are allowed while the 24-hour customer service window is open; after it closes you can only send approved templates, so keep a utility template ready for follow-ups.", "Apologise once, for the specific problem, and attach the fix. An apology without an action reads as a delay.", "Store templates as quick replies in the shared inbox with a naming convention and an owner, and retire any that agents edit heavily every time.", "Arabic replies should be written natively in Modern Standard Arabic with a polite Gulf business register, not machine-translated from English."]
faq:
  - q: "What is a customer service reply template?"
a: "A customer service reply template is a saved, pre-written response for a recurring situation, such as acknowledging a ticket or explaining a delay. Agents insert it, fill in the variables like name and order number, and add a personal line before sending. It saves typing time and keeps tone and policy consistent across the team."
  - q: "Do templates make customer service feel robotic?"
a: "Only when they are sent unchanged. Use templates for structure and facts, then add one sentence that proves a person read the message, such as the product name or the date the customer mentioned. Avoid stock phrases like 'valued customer' and keep each reply short enough to read on a phone."
  - q: "Are WhatsApp quick replies the same as WhatsApp message templates?"
a: "No. Quick replies are saved shortcuts that an agent types into a chat, which is free text you can send while the customer service window is open. Message templates are pre-approved by Meta under a category and are required to start a conversation or to write after the 24-hour window has closed."
  - q: "How many reply templates should a support team have?"
a: "Start with 15 to 25 covering your most frequent contact reasons, then add more only when agents repeat the same text. A library of hundreds is hard to search and goes stale. Review usage monthly, merge duplicates and delete anything that has not been used in a quarter."
  - q: "Can I use these templates in Arabic?"
a: "Yes. The Arabic versions in this guide are written for GCC customers in polite Modern Standard Arabic. Have a native speaker from your team review them against your brand voice and policies before saving them, and keep numbers in Western digits so they match your order system."

# Customer Service Reply Templates: 50 Copy-Paste Replies

Canonical: https://omnichannels.ai/blog/customer-service-reply-templates/
Language: en
Publisher: OmniChannels.ai by BroadNet Technologies

This guide is for support leads and agents who answer customers in chat, WhatsApp and email and want a reliable library of replies. You get 50 copy-paste templates grouped by situation, tone rules, the personalisation fields to use, a way to store them as quick replies, and Arabic versions for GCC teams.

## What makes a good customer service reply template?

A good template states the problem, the next step and a time, in plain words, and leaves one place for a personal line. Everything else is padding.

Use five rules when you write or edit any template:

1. **Lead with the point.** The first sentence acknowledges the request or states the outcome.
2. **Name the specific issue.** "Your order {{order}} has not arrived" beats "your inquiry".
3. **Give the next step and a time.** "We will update you by 4 pm today" is a promise a customer can check.
4. **Keep it short.** Most chat replies should fit one screen on a phone.
5. **Sound like a person.** Use contractions, the customer's name and one human sentence.

A **canned response** or **quick reply** is a saved message an agent inserts into a conversation; a **WhatsApp message template** is something different, a message pre-approved by Meta (covered below).

## Which personalisation fields should every template use?

Use the smallest set of fields that makes the reply specific: customer name, order or ticket number, product, date and agent name. The templates below use these placeholders in curly braces.

| Field | Example | Used for |
|---|---|---|
| {name} | Layla | Greeting |
| {order} | #10428 | Order, refund and delivery replies |
| {product} | blue kettle | Returns, faults |
| {date} | Thursday 12 | Delivery, refund, callback |
| {time} | 4 pm | Promised update |
| {agent} | Omar | Sign-off, handover |

Never send a template with an empty or unfilled field. Make the inbox block sending when a field is missing, or train agents to scan for braces before pressing send.

## Acknowledgement replies

An acknowledgement confirms you received the message and sets expectations. It counts as a first response only if it says something useful, a point we cover in our guide to [first response time](/blog/first-response-time-customer-service/).

1. "Hi {name}, thanks for getting in touch. I'm {agent} and I'm looking at your message now. I'll come back to you by {time}."
2. "Hi {name}, we've received your request about {order}. I'm checking it and will reply by {time} today."
3. "Thanks {name}. I can see your question about {product}. Give me a few minutes to check the details."
4. "Hi {name}, your request is with our team. The reference is {order}. You do not need to message again; we will reply here."
5. "Thank you for sending the photos, {name}. They help a lot. I'm reviewing them and will confirm the next step by {time}."
6. "Hi {name}, I'm sorry you've had to write to us. I'm taking this on myself and will update you by {time}."

## Clarifying questions

Ask for everything you need in one message, as a short list, so the customer answers once.

7. "To check this quickly, could you send: 1) your order number, 2) the email or phone number used, 3) a photo of the problem?"
8. "Just so I get this right, {name}: is the issue with {product}, or with the delivery?"
9. "Could you tell me which device and app version you're using? That tells me which fix to try first."
10. "Thanks {name}. Was the item damaged when it arrived, or did the problem start after you used it?"

## Delay replies

Say what is delayed, why in a sentence, and the new time. Do not blame another team.

11. "Hi {name}, your order {order} is running late. It is now expected on {date}. I'm sorry for the delay and I'll message you as soon as it ships."
12. "{name}, I need a little more time to check this with our warehouse. I'll update you by {time} today, even if the answer is not final."
13. "We're getting more messages than usual today, so replies are slower. Your request is in the queue and will be answered by {time}."
14. "Hi {name}, the supplier has confirmed a new date of {date} for {product}. If that does not work for you, reply here and we'll offer options."
15. "I haven't forgotten you, {name}. Still waiting on a confirmation from the carrier. Next update by {time}."

## Apology replies

Apologise once, for the specific problem, and attach what you will do. Avoid "if you were inconvenienced".

16. "I'm sorry, {name}. You should have received {product} in good condition and it did not arrive that way. I'll arrange a replacement now."
17. "That's not the experience we want you to have, and I'm sorry. Here is what I'm doing: {action}."
18. "You're right, {name}, we made a mistake with {order}. I've corrected it and you'll see the change by {date}."
19. "I apologise for the confusion in our earlier message. The correct information is: {details}."
20. "Thank you for your patience, {name}, and I'm sorry it took this long. Your issue is now resolved: {details}."
21. "I'm sorry we missed the time I promised. I should have updated you at {time}. The status now is: {status}."

## Refund, return and exchange replies

State the policy in one line, the amount or method, and the date you expect the refund to be completed. Quote only terms that are in your published policy.

22. "Hi {name}, I've started the return for {order}. Please send {product} back using this label: {link}. Once it's received, we'll refund the original payment method."
23. "Your refund for {order} has been approved, {name}. Banks can take a few working days to show it. If it isn't there by {date}, message me and I'll trace it."
24. "I can offer either a replacement or a refund for {product}. Which would you prefer?"
25. "I'm sorry, {name}, this item falls outside our return window of {policy}. What I can do is {alternative}."
26. "We've received the item back. Your refund is being processed today, and you'll get a confirmation message from us when it is done."

## Order and delivery status replies

27. "Hi {name}, {order} is with the courier and is due on {date}. Tracking: {link}."
28. "Your order has been delivered according to the carrier's record. If you can't find it, please check with neighbours and reception, and tell me if it's still missing so I can open a trace."
29. "I've updated the delivery address on {order} to {address}. Please confirm it's right."
30. "Good news, {name}: {order} shipped today. You'll get tracking details in a separate message."

## Escalation and handover replies

Name the new owner and say what they already know, so the customer never repeats the story. This pairs with a clean [human handoff](/blog/whatsapp-chatbot-human-handoff/).

31. "{name}, this needs a specialist. I'm passing you to {agent2} from our {team} team. I've shared the full history, so you won't need to repeat anything."
32. "I've escalated your case to my supervisor because it needs an exception. You'll hear from them by {time}."
33. "I can't approve this myself, {name}, but I've sent it for review with all your details. The decision comes within {timeframe}."
34. "For your security, I can't discuss payment details in chat. Please call us on {phone} and quote reference {order}."
35. "Thanks for explaining. This is a technical issue, so I've logged it with engineering under reference {order} and I'll tell you the moment there is a fix."

## Angry or frustrated customer replies

Do not mirror the tone and do not argue. Acknowledge the feeling, state what you can do, and move to action. If a message mentions legal action, safety or a data issue, send it to a person, not a template.

36. "I understand why you're upset, {name}, and I'm sorry. Let me fix this. First: {action}."
37. "You've been waiting too long and that's on us. I'm handling this personally until it's resolved."
38. "I hear you. I can't change what happened, but I can {action}, and I'll check back with you at {time}."
39. "Thank you for telling me directly, {name}. I'd like to call you to sort this out. Is {time} a good moment?"

## Closing and feedback replies

40. "Glad we could sort that out, {name}. If anything else comes up, message us here any time."
41. "I'll close this conversation now. You can reopen it by replying within {days} days."
42. "Is there anything else I can help with today? If not, I'll close this chat in a few minutes."
43. "Thanks for your patience, {name}. A short survey will follow; one tap tells us how we did. See our guide to [CSAT, NPS and CES](/blog/csat-nps-ces-customer-satisfaction-metrics/) for question wording."
44. "Thanks again, {name}. Have a great day. {agent}"

## Out-of-hours replies

Say when you open, when the customer will hear back, and what they can do meanwhile. See more in the [auto-reply generator](/tools/whatsapp-auto-reply-generator/).

45. "Thanks for your message. Our team is offline and returns at {time} on {date}. We'll reply in the order messages arrive."
46. "We're closed for the weekend. For urgent order issues, use the help page: {link}. Otherwise we'll respond on Monday morning."
47. "Our hours during the holiday are {hours}. Messages sent now will be answered from {date}."
48. "You've reached us outside opening hours. In the meantime you can track your order here: {link}."
49. "Ramadan hours: we are available {hours}. Leave your message and we'll respond as soon as we open."
50. "We've got your message and the team will pick it up first thing tomorrow, {name}. For emergencies, call {phone}."

## What Arabic versions can you use for the GCC?

These are written in polite Modern Standard Arabic. Have a native speaker on your team check them against your brand voice before you save them.

Keep digits in Western form so they match your order system, and write the name placeholder in the same position in both languages. Our guide to [Arabic customer messaging](/blog/arabic-customer-messaging-best-practices/) covers register and layout in more depth.

## Which WhatsApp replies need an approved template?

Free-form replies are allowed only while the 24-hour customer service window is open; after it closes, Meta requires a pre-approved template. The window opens when the customer messages you and resets each time they write again.

So the 50 replies above are sent as normal messages inside the window. If you must write after it closes, for instance to confirm a refund the next day, use a template and label it by Meta category. Two examples:

- **Utility template:** "Hello {{1}}, your refund for order {{2}} has been processed. It may take a few working days to appear in your account." Category: Utility, because it relates to an existing transaction.
- **Utility template:** "Hello {{1}}, we have an update on your support request {{2}}. Reply to this message to continue the conversation." Category: Utility. A button such as a quick reply is optional.

Anything that adds an offer or invites a new purchase, for example "Here's 10% off your next order", changes the content to Marketing. Meta decides the category on review and charges per delivered message by category and recipient market, so check Meta's current rate card and read our guide to [template categories](/blog/whatsapp-template-categories-approval/) and the [24-hour window](/blog/whatsapp-24-hour-customer-service-window/).

## How do you store replies as quick replies in a shared inbox?

Store each reply with a short name, a category folder and a named owner, so agents find it by typing a few letters. In the [shared inbox](/platform/unified-inbox/), do these steps:

1. **Create folders** that match the headings above (acknowledge, delay, refund, escalate, close, out of hours).
2. **Name them predictably**, for example "delay-order-late", so search works.
3. **Add fields** for name, order and agent, and block sending with a field missing.
4. **Assign an owner** who reviews usage each month.
5. **Mark which are safe to automate**, such as out-of-hours replies, and let the [chatbot or AI agent](/platform/chatbots/) use only those.
6. **Retire** templates agents rewrite every time.

For a wider view of what to automate and what to keep human, see the [customer service automation guide](/blog/customer-service-automation-guide/).

## What mistakes make template replies backfire?

- **Sending unfilled fields.** "Hi {name}" in a live chat is worse than no template.
- **Over-apologising.** Three apologies in one message sound insincere.
- **Promising a time you cannot keep.** Use a time your team can meet, then beat it.
- **Pasting policy text.** Summarise the policy in one line and link the page.
- **Using the same closing for everyone.** Match tone to the situation.
- **Ignoring sensitive cases.** Legal threats, safety and data issues need a person.
